JOB PURPOSE

The Remote Administration Assistants will play a crucial role in ensuring smooth operations within the administration department by efficiently handling various administrative tasks remotely. The position requires unlimited internet access and proficiency in using Microsoft Office applications and a Tutor Management System accessed online.

 

JOB DUTIES AND RESPONSIBILITIES

1. Assist with Registration Forms:
   - Receive registration forms from students and parents via email or online submission platforms.
   - Review the registration forms for accuracy and completeness, seeking clarification or additional information as needed.
   - Accurately capture all necessary information from the forms into our online database.
   - Follow up with parents/students to obtain any missing or incomplete information required for registration.
- Follow up with parents regarding student attendance and registration status.

2. Assist with Payments/Accounts:
   - Receive and record verified payments from finance department remotely.
   - Send proof of payments to finance department for verification.
   - Sending Statement of Accounts to parents.
   - auditing parent accounts 
3. Assist with Customer Service:
   - Respond to parent and office inquiries promptly and professionally via email, WhatsApp, chat, or phone.
   - Address concerns, questions, or issues raised by parents or staff members, providing appropriate solutions or escalating matters to the relevant department when necessary.
   - Maintain a positive and helpful attitude when dealing with clients/parents.

4. Assist with Documentation and Filing:
   - Organize and maintain digital filing systems, ensuring easy retrieval of documents as needed.
   - Manage documents and files in an orderly and systematic manner.
   - Maintain confidentiality and handle sensitive information with integrity.

5. Provide Administrative Support:
   - Perform general administrative tasks remotely, including data entry, document preparation, and online correspondence.
   - Collaborate with team members through online platforms to streamline administrative processes and improve efficiency.
   - Assist in scheduling and coordinating appointments or meetings as required.
   - Contribute to the development and implementation of administrative procedures to enhance productivity and effectiveness.
6. Communication and Collaboration:
   - Maintain open and effective communication with team members and supervisors through email, instant messaging, and virtual meetings.
   - Collaborate with other team members to ensure seamless workflows and share knowledge and best practices.
   - Participate in team discussions and provide input on process improvements and departmental initiatives.

REQUIREMENTS

​- Grade 12 or equivalent, Additional qualifications in office administration or related field is a plus.
- Experience in Administrative Role will be an added advantage.
-  internet access & laptop/Computer/Tablet to fulfill remote work requirements.
- Proficiency in using Microsoft Office applications (Word, Excel, PowerPoint) and ability to learn and navigate online systems.
- Strong organizational and time management skills.
- Attention to detail and accuracy in data entry and documentation.
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks simultaneously and prioritize workload effectively.
- Exceptional customer service skills and a professional demeanor.
- Ability to work independently and remotely while maintaining productivity and focus.
